1. Prerequisites

Use the ERES 2.0 case module. The service incorporates the registration method. If you are a user of this and want to activate the case module, you must inform us through a support request.

Be a user of the iArxiu service. If you do not yet have the iArxiu service, you will have to request registration to be able to use it from the ERES.

Register a documentary collection in iArxiu and communicate it to the AOC Consortium to carry out the configuration.

Add Archivist permission to EACAT : The user must have Archivist permission on both iArxiu and ERES. The EACAT manager must add the corresponding permission.

2. How to send and transfer files and documents to iArxiu from ERES (file manager user)?

The user with the file management role must complete the processing of the files to be able to send them for transfer to iArxiu.

Once in the completed files tray, those that need to be archived definitively must be sent for transfer and the transfer date must be established:

Once the request date has arrived, the files will appear in the Archivist user's Transfer Request tray.

Additionally, the case manager user will be able to track the transfers of their cases, from the Transfer Request and Transferred Cases trays available on the Cases tab (from this, they will only be able to view the cases associated with their areas or work units.

3. How to send files and documents to iArxiu from ERES (archivist user)?

Once the functionality is activated, and the corresponding permissions are available, the Archivist will be able to see the iArxiu to ERES tabs to be able to send the files and documents.

This displays the trays through which the archivist user can view all the files sent for transfer, regardless of the associated permissions on the work units:

Transfer Requests : Shows the files that the ERES file management user has completed and sent for transfer. Through this the Archivist user can Send for transfer or Reject the transfer through the buttons below:

In process : shows files while they are being transferred to iArxiu.

Transferred files : Shows files that have already been registered in iArxiu with the corresponding identifier and a link to view the file in iArxiu.

In the event that a transfer error occurs in iArxiu, the affected file or files would return to the “Transfer Requests” tray in an error status, so that the reason for the error can be analyzed and resubmitted.
