The events that will generate email notifications to e-Valisa users are the following:

  1. Receiving a new suitcase . The recipient user (and all associated collaborating users) and viewing users will receive a notification each time they receive a new suitcase. Recipients will receive an email with the subject “Received:” and the subject of the suitcase in question, and viewers will receive an email with the subject “Viewer:” and the subject of the suitcase.
  2. Suitcase to be modified. If, when reviewing a suitcase prepared for approval, the owner determines that some modification is necessary, he or she may do so himself or return the suitcase to the collaborator indicating the changes that must be made. In this second case, the eValisa will send a notice to the collaborator to indicate this.
  3. Discarded suitcase . If the owner of a suitcase decides to remove a suitcase that a collaborator had prepared for them for approval, the collaborator will receive a discarded suitcase notice.
  4. Returned suitcase . If the recipient user of a suitcase (or one of their collaborators) returns a received suitcase, a notification email will be sent to the sending user (and their collaborators) to inform them.
  5. Reading a suitcase . When the recipient user (or one of their collaborators) reads a received suitcase for the first time, a notification will be generated to the sending user (and their collaborators) to indicate that the suitcase has been read.
  6. Suitcase sent by a collaborator . A registered user will receive an email notification each time one of their collaborators sends a suitcase directly on their behalf.
  7. Suitcase ready for approval . A registered user will receive a notification by email every time a collaborator leaves a suitcase ready for them in the For approval inbox. The notification email will have the subject “For approval:” and the subject of the suitcase itself.
  8. Reading deadline notice . If a suitcase is sent indicating a deadline date and this suitcase has not been read by the recipient (or one of their collaborators) before the indicated deadline expires, eValisa will send a warning email to both the sending user (so that they can take action if they deem it appropriate) and the recipient user (and their collaborators).
  9. Suitcase sent by the user with whom we collaborate . When the owner sends the suitcase that we had placed for approval, we will receive the notification by email.

All these notification emails will include the necessary data to clearly identify the related case (who is the issuing user, what is the date and time the event occurred, the subject, etc.) and a link to directly access the eValisa to find out more exactly what has happened and act accordingly.

Of all these types of notices, we believe that some are more important than others. Specifically, we believe that the first 4 should be sent in all cases and that they should also be sent as soon as they occur.
However, we think the last 4 types of notifications are not as critical and these are the ones we will allow you to configure as follows:

  • Individually for each type of notification you can decide whether or not you want to receive it and if so, how often: immediately, receive a single daily email with all the events that have occurred during the day or receive a single weekly email with all the events that have occurred in the last week.
  • By default, all notifications will be configured to be sent immediately as soon as the event occurs. This ensures that users who are starting or are starting to use e-Valisa will receive all notifications and will only stop receiving them once they gain more experience with the service and decide to do so.
