When should a performance be cancelled?

When the administration detects an error in a representation, it is necessary to justify its cancellation and cancel it, so that it is not used in administrative practice and the action of one person on behalf of another in any administrative procedure is not allowed, based on it.

Errors can be of two main types, when there is an error:

  • in the identification data of the representation, e.g. incorrect name or identification number.
  • in the type of representation depending on the powers of attorney or supporting documents provided, e.g. in the power of attorney a power of attorney for procedures is identified and instead, a type A or General power of attorney has been registered.

Not canceling these representations may mean that, for example, an organization checks whether a person can act on behalf of another, but does not appear in the Representa database because the DNI or type of registered power of attorney is incorrect.

How should a public employee proceed when they detect an error in a representation? Who is responsible for the cancellation? How is it structured?

Cancellation procedure
  • a representation has been created and the same manager who created it detects that there is a data error >> you just need to cancel and indicate the reason, e.g. "Error generating the representation"
  • A representation created by another manager/validated by another public worker has been consulted and an error has been detected in the data.
    • if it is a representation that has gone through "pending validation": check who validated the representation (details) and contact them to discuss the reasons and have that person cancel it.
    • if it is a representation that has not passed the validation pending stage, created by a public worker: check who created it (details) and contact them to discuss the reasons and have this person cancel it.
  • A representation created by a citizen/company has been consulted and has not been validated: it must be cancelled directly by the public worker who detected the error.

If interested parties have provided an email address, they will receive an email with the reason for the cancellation.

How do I know which public employee created a representation or validated it?

You must access to see the details of the representation, and if it has been generated in the "public employee" channel, the applicant will include the name of the public worker and administration that created and/or validated it.
