In this tab, the files of one or more people, with whom the service will intervene, are associated to the file. This process is carried out through the “Linked People” tab, by clicking on the “Link” button. This button will open the search engine, from where you can search and select the personal files that will be added in this section.

The first person included in the file will be listed as the “Main Person” of this file, that is, the main person of the object of the action or reference. However, this characteristic can be modified at any time, provided that there are more people involved, by clicking on the type of relationship of the person to be modified. Subsequently, for each of the files that are added, it will be necessary to choose what type of relationship they have with the “Main Person”, thus defining the family relationships.

To be able to add/link any person to the file, it is necessary to have previously registered their personal file. In the event that at the time of linking other people to the file, and when only the personal file of the main person is available, the professional who creates the file will need to generate, consequently, the rest of the personal files of the people to be linked ( * remember that it is necessary to have the Consent Form of data of every person registered in Hèstia).

Next, it will be necessary to add the rest of the people with whom the intervention will be carried out, whether they are the direct recipient of the intervention or the beneficiary (who will be affected by the professional's intervention at some point in the process).

At any time, by clicking on the person linked to the file, you will be able to access their personal file directly.

Once all the people with whom the file will be worked on have been linked, you can start registering the request, situation, actions, and/or services with the enabled button for “Actions”, “Requests”, “Problems”, Resources”, and “Procedures”, as well as work agreements through the “Intervention Plan” tab.

To register the care and professional intervention, click on "Add" and choose the type of care provided:

  • New Action : opens the form for creating an action, in which the file will appear as a related person, understood as the individual beneficiary or affected by the actions undertaken by the social worker.
  • New Demand : allows the creation of a demand from the related person.
  • New Problem : creates a problem for the related person.
  • New Resource : Creates a new resource for the related person.
  • New Procedure : allows the creation of a procedure for the related person.

By selecting several people in the file, using the "Selection" option to the left of each linked person, a simultaneous registration can be made for the selected people:

Once registered, the professional can access the information through the tabs related to actions, demands, Problems, Resources and Procedures. If simultaneous registration has been made for more than one member of the file, for example an appeal, in the “Resources” tab an appeal will be seen in the name of each of the selected people.

The status of a person in a specific file can be “Active” or “Inactive”. On the other hand, there is a third status “Successful” that cannot be modified from the file, as it is determined by the personal file (see information in the “Status” field of the Personal File).

  • Active : person involved in the file, whether as a beneficiary, interlocutor, etc.
  • Inactive : person who was part of the file, but is no longer involved in it (it is recommended not to disassociate from the file, since historically they were part of it and may have been a beneficiary of resources, ... within the framework of this file). They may have other SSB files, individual or part of other family units.
  • Death : indicates the death of a person.

All these states are represented graphically with buttons located in the first column of the linked people table. To change the status of any file, whether from “Active” to “Inactive” or vice versa, simply press the status button in the appropriate row.
