The organization's Entity Administrator is the user who can manage user registration, associate the user with an organization and user deregistration.
In order to register a user with an Editor and/or Validador profile in the RPC, the Entity Administrator must access the tool and specifically, the 'Users' section:
In this section there is a user search engine through which the administrator can verify if the user is not already registered with the organization. If it is necessary to create the user from scratch, this must be done from the “new user” button on this same screen.
At this point the user registration screen will load.
On this screen you must provide the following information about the new user:
- NIF (without blank spaces or separators)
- Name and surnames
- Profile that the user will have in the RPC
You will need to leave the field that indicates that the user is active checked, as it is by default, and click Save.
NOTE : If you want to register a new Entity Administrator, follow the instructions in the FAQ: How can I register a new Entity Administrator in the RPC ).
Once the new user has been registered, they must be associated with the contracting body so that they can access the tool and perform the functions of the corresponding role. To do this, access the “User bodies” section.
This screen also has a search engine (to see which users the organization has associated with it or which profiles an existing user has associated with it).
Below, click the “New” button to access the screen to associate the organization with the user.
The form to associate the user with the organization is displayed:
Select from the list of users of the organization the one you want to associate, choose the profile (by default the profile assigned to the user in the previous section “Users” appears, although this can be changed to allow more than one profile to be added to the user (repeating this operation for each profile to be associated).
In the Bodies (level 2) field, the bodies that depend on the level 1 body appear, in the event that there are other bodies under the hierarchy of the contracting body (e.g.: city council and its dependent bodies).
Finally, it is necessary to inform the start and end dates of the validity of the user's association with the organization.
- The start date will be the date on which the user must be able to access the tool with that role.
- The end date, by default, will be 12/31/2030. In the event that the user's profile must have a shorter validity, a different date can be indicated, but it must be taken into account that from that date, it will not be possible to access the tool with this role .
To unsubscribe a user, the Entity Administrator must search (by NIF or name) for the user who wants to be unsubscribed and, once inside their data sheet, uncheck the “Active user” field.
NOTE : If you want to remove an Entity Administrator, follow the instructions in the FAQ: How can I add a new Entity Administrator to the RPC ).
When registering users in the RPC, the start and end date of validity must be reported, as shown in the following image:
If this expiration date arrives, and the user still has to continue to be able to access the RPC as a user, reactivation will need to be requested since they will not appear as a registered user in the organization and when trying to associate them, the following message will appear:
In this case, the Entity Administrator of the organization will need to open a support request to request the reactivation of the user with the following data:
- Name and Surname
- User ID to reactivate
- Contracting body to which it belongs
- Roles available to this user in RPC
