Manage users and mailboxes in the new EACAT

User registration is carried out by user managers through the top-right settings gear, under “AOC Services”.

As a user manager, you can:

Create new users through the top-right settings gear menu, under “AOC Services”, option “Users”. Once created, you can define their permissions in EACAT Procedures:

  • Basic Permission: allows users to consult and process the services they have access to.
  • Signature Permission: allows users to sign web form procedures that require a signature.
  • Entity Management: allows managing the entity’s users and mailboxes.

These users will be able to access procedure services depending on the mailboxes assigned to them in the EACAT Procedures section.

In the same “AOC Services” section, you can assign the corresponding roles for AOC services such as the Registration Inbox, ViaOberta, e-NOTUM, e-FACT, and all services that were previously located under “Applications” in EACAT Classic.

Manage EACAT Procedures mailboxes through the top-right settings gear, under “EACAT Procedures”.

Mailboxes are containers where services are added. As a user manager, you must assign mailboxes to each user according to the procedures they need to carry out.

In the “General” menu of EACAT Procedures management, you can decide whether your organization uses mailboxes:

  • Do not use mailboxes. Uncheck the option “Use mailboxes in the entity” if all EACAT users can access all procedure services. You must still assign the basic and signature permissions where applicable.
  • Use mailboxes: If you enable this option, you must create mailboxes, assign services to each container, and then assign the appropriate mailbox to each user.

Where can you find EACAT Classic functionalities in the new EACAT?

I no longer have permissions in the new EACAT that I had before

You can check your permissions by clicking on your name in the top-right corner and selecting “Personal space”.

Here you will see:

  • “AOC Services” section: You will see the roles you have in EACAT and in AOC services (Registration Inbox, ViaOberta, e-NOTUM, e-FACT, etc.). At minimum, you must have the Basic Permission for EACAT Procedures.
  • “Services” section: You will see the procedure services assigned to you through mailboxes.

If you do not have any EACAT Procedures permissions in the “AOC Services” section or no services appear in the “Services” section, you must contact your organization’s user manager. If you do not know who that is, you can find them under the “Managers” tab in the same area.

Where to find the Generic Submission in the new EACAT

To access the Generic Submission, go to the left-hand menu “Service and Procedure Catalogue”. You will find it in the “Generic Services” section.

Please note that the Generic Submission should only be used if no specific service or procedure exists in the catalogue to send the required documentation or information.

To prevent unnecessary use, the new EACAT includes a feature that recommends other specific services before starting a Generic Submission.

How to respond to a procedure

To respond to a received procedure, go to the left-hand menu “Processing Area”, where you will find received and sent procedures for the services you have access to.

As in EACAT Classic, received procedures can only be responded to if they have a configured response procedure (this is decided by the procedure’s promoting organization).

If there is no response option, you must start a new procedure from the catalogue or send a Generic Submission if no suitable option exists.

How to find a procedure in the catalogue

You can find procedures using the catalogue search from the EACAT home page or by accessing the catalogue icon in the left-hand menu.

For more accurate results, follow these search tips:

  • Use relevant keywords.
  • Choose uncommon words to refine your search.
  • Remove words that return unwanted results.
  • Filter by “Services” to narrow results.
  • Use advanced search for further refinement.

The registration application is located in the top-right menu “Applications” apps, under the MUX icon with the name “Incoming and outgoing registration – AOC Services”.

You will find services that are not strictly inter-administrative procedures in the top-right menu “Applications” apps.

If you do not have permissions for an application, contact your organization’s user manager. You can find out who this is in your “Personal space”, under the “Managers” tab.

Functional questions about a specific procedure

If your question is not a technical issue related to EACAT, you must contact the procedure’s promoting organization to resolve it. AOC provides access to procedures but is not responsible for their content.
